Position Summary
Fitz’s Fish Ponds is seeking a Systems & Operations Coordinator to support the continued rollout and optimization of our Odoo ERP system. This position will work closely with the Project Manager to ensure system functionality, data accuracy, user adoption, and ongoing process improvements.
This is a highly collaborative position with strong growth potential, blending system administration, operations, and process improvement. Over time, this individual will become the primary internal point of contact for Odoo system support and enhancements. This role is ideal for individuals who enjoy solving problems, improving systems, and becoming a key contributor to how the business operates behind the scenes.
Key Responsibilities
System Support
- Serve as primary point of contact for internal Odoo-related questions and issues
- Troubleshoot system errors and coordinate solutions with internal teams or developers
- Escalate and manage issues with developers as needed
Process Improvement & Quality Assurance
- Identify opportunities to improve workflows and efficiencies
- Support automation efforts across scheduling, invoicing, and lead management through customer follow-ups
- Help streamline key processes from quote to payment
- Test new features, workflows, and fixes before release
- Ensure alignment with business requirements
Data & System Management
- Maintain accurate product, pricing, and inventory data
- Support inventory setup, warehouse organization, and replenishment levels
- Assist with system updates, landed cost configuration, and data imports
Project Support
- Support rollout of ongoing initiatives such as system enhancements, marketing automation, AI integrations, and new feature rollouts
- Assist in managing project backlog and prioritization
- Help track progress and ensure projects stay on schedule
Training & Adoption
- Support employee training and onboarding in Odoo eLearning
- Create and manage training materials
- Help drive system adoption company wide and reinforce SOP usage
Cross-Team Collaboration
- Work closely with all departments to understand needs and improve system usage
- Maintain visibility into all active Odoo-related projects
- Communicate updates and improvements clearly to staff members
Qualifications
- Ability to build and maintain strong working relationships across departments to facilitate communication, support issue resolution, and drive successful adoption of systems and processes.
- 2 - 4 years experience in operations, systems, or business support role
- Strong attention to detail and problem-solving skills
- Comfortable working across multiple systems and teams
- Experience with ERP systems (Odoo preferred but not required)
- Ability to manage multiple priorities in a fast-paced environment
- Willingness to participate in online Odoo, specific, training courses to become more familiar with the software
- Intermediate knowledge of Google Workspace, including: Google Sheets and Google Docs
- High School Diploma, GED or equivalent
Schedule: Monday through Friday 8:30 AM - 5:00 PM
Compensation: $55,000 - $65,000 depending on experience
